The leadership team arrived first to the Harry Reid Airport in Las Vegas to find uniformed representatives waiting with smiles on their faces and branded Behr T-Shirts held high. After claiming luggage, our staff escorted them to the waiting Behr branded shuttles to transport them to the Red Rock Casino Resort & Spa.
Upon arrival, our team saw them seamlessly to their rooms, luggage in hand. The Monday afternoon pre-conference would see the leadership team first prior to the arrival of the rest of the 1,200 staff. Following their meeting, the leadership teams enjoyed dinner together before breaking off to enjoy the Vegas nightlife.
The next morning was sweet indeed! The leadership team enjoyed an early Valentine’s Day breakfast together before the rest of the team arrived. Our shuttle service would be busy today, bringing in 1,200 employees from the airport to the Vegas hotel to reunite with the executives. Attendees enjoyed a stroll through the lobby where a massive BEHR logo was erected. It became a popular spot to stop and grab a photo. An app on their phones helped ensure that no matter where the attendees were, they could be connected to the conference. It included the full itinerary, signups for excursions, and even an additional means of communication for those who had questions.
Additional conference signage was displayed to ensure employees were able to easily make their way to the conference location from their hotel rooms. A registration table, manned by our staff, checked off every attendee for security purposes while monitors displayed the BEHR branding logo on a loop. The Behr Staff Arrival Luncheon was originally planned to be poolside, however, due to poor weather forecast we had an indoor contingency plan in place. Thank goodness too, because some strong straight winds ripped through and turned the poolside upside down! Tables and chairs were thrown around, and linens had to be fished out of the pool before guests arrived!
A separate lunch area for executives was also provided to allow more intimate seating that was more constructive for conversations. The leadership team had a lot to go over after all, because while the rest of the staff were arriving, they were in separate breakout sessions. Additional sales meetings were to begin immediately following lunch, making the most of their week-long gathering.
Behr’s conference and sales meetings overall motto for 2023 was “Making Impact Everyday”. To help them drive this motto home with a seamless, impactful presentation we worked hard with the hotel and on-site crews. When planning and producing meetings and conferences like this, it is important to set the stage for the material being presented – both figuratively and literally. In Vegas the hotel was able to provide a number of the basic items needed, but not everything. High production value is vital to the retention of material. When your group numbers in the thousands, you need extra AV equipment to ensure everyone can see and hear the presentation comfortably. In each breakout room (and especially in the main hall) a stage, speakers, screen (in most cases multiple screens), mics, projectors, transmitters, cameras, additional lighting, miles of cables, monitors and more are needed to provide a quality session. Most items are not seen, but provide the necessary connections to make it all work as seamlessly as it seems. A full event production crew arrived days before to set up, test (and re-test), run-through, and manage speakers through the process.
The general session had to hold all 1,200 attendees while the 5 breakouts ranged in size from 150 to 300 plus attendees. A separate production team was provided for each room to run the equipment and film. The general session crew was over 15 crew members since the seamless LED screen was a jaw-dropping 16.4′ h x 90.2′ w. From their behind the scenes setup, they worked switchboards and monitored sound levels, camera angles and even color saturation – ensuring the content changed on cue to keep attendees engaged.
Breakfast, lunch and refreshments were provided throughout the day to the attendees. The weather cleared up enough for the attendees to enjoy the pool and outdoors. Cabana seating and round tables were set up all around the glittering blue pool. The buffet style lunch would serve 1,200 under the shade of palm trees. Music, dancing and a few other entertainment elements were brought in as well. Of course, the company of each other, in-person for the first time in three years, was the real element everyone was looking forward to! The poolside buzzed with excitement as attendees greeted each other warmly. After lunch, additional leadership and sales meetings took place.
It was the award ceremony (find more unique ideas for your award ceremony here) and banquet dinner that ended the day. In a clever take on centerpieces, Behr’s own products were used! Various sized cans of paint, stain and Kilz primer were placed in groups on mirrors. Adorning the top of the largest can, succulents draped down the sides. The glossy cans reflected the LED candles nicely and the entire centerpiece was topped off with the branded motto” Making Impact Everyday”. Against a black tablecloth, these centerpieces took center stage. What a clever way to utilize the products and brand within the event itself!
Award ceremonies are always an enjoyment with the Behr staff. While we work with many companies, the team at Behr is definitely one of our favorites! Their kind staff work hard to make impactful moments happen everyday for their customers. We were proud they trust our team to honor their own. It is a privilege and an honor to support them through COVID (see 2021 and 2022 conferences) and back to in-person events again. That is why we took special care to ensure their Banquet Reception and Awards were presented as beautifully and as seamlessly as it was. Cold drinks, hot dinner, and plenty of warm company graced the ballroom. Afterwards, the lounge area was reserved for an exclusive after party. Wrist bands were required to enter- keeping security and exclusivity tight for the deserving group. The party raged on well into the night, with the next day planned for an early start.
To break from the intense leadership and sales meetings, some high-energy fun was injected into the week. Thursday would be all day fun-day, with excursions planned such as an open jeep tour and some off-roading in the desert! Signups for the day were done through the exclusive app. Groups choose from a number of excursions such as golf at the Angels Park, a Hoover Dam Tour, eBike, hike, open air jeep tour, or a Baja Chase at nearby Red Rock Canyon. Shuttles arrived at dawn, clean and ready to take their respective groups to their excursion of choice.
For those with the earliest start, breakfast began at 6:30am at TBones, Hearthstone, and Osteria Fiorella. After a hearty breakfast, attendees boarded their shuttle to enjoy a day outdoors. A fine welcome following a full day in meetings. Refreshments were provided at each excursion, drinks and snacks kept them fueled whether they were hitting the T or hitting the gas.
Open air jeeps took their groups through beautiful sweeping views of the Red Rock Canyon. A photo opp stop was included for the groups of 6. For those who enjoy a little higher octane, sand buggies grouped attendees in pairs and shot across the desert in a high-energy Baja Chase that rocked the Red Rock Canyon.
For those who chose to stay behind and sleep in, a brunch was provided poolside from 9 to 11am. With something for everyone, the day was planned to be refreshing and energizing.
That evening, a banquet dinner was planned to be poolside, but at the last minute weather rolled in and our team had just 2 short hours to move everything from the pool indoors to the ballroom. The last minute shift went on without a hitch. For their last evening together, attendees enjoyed staged karaoke, foosball, live DJ and, of course, each other. Cool drinks in hand and plated dinner to enjoy, they shared stories from their experiences and contact details with new friends.
As we watched the evening come to a close, we felt an amazing kinship with Behr.
We helped them make an impact each day of the week-long trip in Vegas, something we were proud to be a part of.
As the sun rose over the glittering high-rises in Las Vegas, we meet the shuttles once more for a final trip to the airport.
Luggage was loaded, goodbyes made, and as they departed on their respective flights we knew that they would be taking away more than just the meeting material with them – they had extraordinary memories that would make 2023 a moment to remember.
