The Gearbox team approached Event Solutions with a monumental task: orchestrate a game launch party that was as dynamic and exciting as the Borderlands franchise itself. This wasn’t just a corporate event; it was a fan celebration. The client’s goal was clear—honor the passion of the gaming community and give them a night to remember. Our mission was to bring this vision to life, managing every detail from logistics to a jaw-dropping run-of-show.
Our Solution: Full-Service Production at Gilley’s Dallas
Event Solutions served as the end-to-end production partner for this massive event at Gilley’s Dallas, a venue we completely transformed for the evening. We designed a multi-level experience that catered to everyone, from VIPs and media to the most dedicated fans, ensuring a seamless flow and an unforgettable night.
Flawless Execution and Logistics
With a three-tiered entry system, security and check-in were paramount. We managed the process to ensure a smooth arrival for all 3,800 guests. Our solution included a dedicated VIP entrance with a yellow carpet, a separate entrance for Gearbox and 2K staff, and a general public entrance through the main lobby.
Our team provided on-site staffing, including multiple event managers, event assistants, and check-in staff to manage the flow of attendees and provide support throughout the night. Guests received custom, branded fabric wristbands and press were given special lanyards, which made identification easy while reinforcing the brand.
A Multitude of Immersive Activations
To fully immerse attendees in the Borderlands universe, we produced a series of high-impact activations:
- Borderlands Museum: We curated a dedicated space to celebrate the game’s rich history. This featured a museum display with a courier and game cases, and statues of the new Vault Hunters for fans to take photos with. The attendance of cosplayers added to the interactive, fan-focused atmosphere.
- Entertainment & Talent: We managed the booking and run-of-show for a series of live performances, including Des Rocs and Neon Trees. We also secured unique acts like the Cyr Wheel artist and the comedic magician Rudy Coby, who performed two different sets.
- Giveaways & Swag: To get fans excited, we managed the production and distribution of custom-printed t-shirts with two different designs. Attendees also received bags of Butterfingers and had a chance to win a NVIDIA in a raffle.
- Media and Press Integration: We facilitated a yellow carpet experience for VIPs and press, ensuring media had dedicated access to Randy Pitchford and game developers.
The Outcome: A Legendary Celebration
The event was a massive success, a testament to the combined effort of the Gearbox team and Event Solutions. Cheers erupted during special announcements, and the entire venue was filled with laughter and excitement.
