Company Celebrates 40th Anniversary

On Sunday, June 25th, 2017, we had the pleasure of throwing an old-fashioned picnic for a fantastic company, Daylight Transport. Celebrating 40 years of business, Daylight hosted their event on-site at their new warehouse in Fontana, California. (What a great way to show off their new location!) Not only did this picnic honor the incredible milestone of 40 years, but it was also a family-friendly picnic, acknowledging employees, families, and strengthening company bond while boosting morale.

About the Event

Daylight Transport is one of the nation’s leading expedited LTL carriers, and lives by their mission: “Learn. Innovate. Succeed.” When our event team got the chance to get to know this amazing company (and equally amazing people), we couldn’t have been more excited. When Daylight decided to partner with our team of professionals at Event Solutions, our event planners were determined to create the best company anniversary yet. Daylight Transport knows the benefits of employee appreciation events and decided to go all out on planning their 40th anniversary.

Guests & Venue

Daylight would be hosting their employee picnic for 1,000 of their hardworking staff and families. When it comes to a big guest count like theirs, there are a lot of factors to consider. The first discussion we had was where and when. Trying to find a convenient time and place for 1,000 people can be hard. But that is why we decided on a Sunday and right on-site at their warehouse. Sunday’s tend to be a good day for families and Daylight wanted to show off their incredible new facility.

Planning with RSVPs

One of the challenges of high guest counts of 1,000 people is staying organized and on top of the small, but essential details. But not with Event Solutions, and certainly not with our invite flyer and online RSVPs. Our graphic design team designed an amazing invite to send to guests where guests were then able to RSVP directly online through our website. This new tool allows guests to save the date and register, while you keep track of guests count with ease.

Family-Friendly Theme

Once the date and venue were decided, it was time for the fun stuff! Daylight wanted to make sure that their company picnic was an absolute blast for everyone: employees, families, and kids. To make this happen, we decided on a light-hearted and charming old-fashioned anniversary picnic theme.

Arrival at the Grand Opening

When guests first arrived, they were welcomed by a giant 40th-anniversary balloon arch and red carpet that lead to the Step-n-Repeat with a signature wall banner. When hosting events on-site, it’s important to our clients for it to feel like a party and not an office. We wanted guests to immediately see the incredible transformation, that will be their workspace, and to understand that this would be a day of great food, exciting entertainment, and fun with their families.

Decorations & Setup

To transform their warehouse, we brought in tables, chairs, rentals, catering, entertainment, restrooms, and parking. We provided pipe and draping, a giant stage, and even TV setup along with staff to manage the event from start to finish.

To go with the old-fashioned picnic theme, we brought in red checkered tablecloths, mason jars filled with beautiful sunflowers and wrapped in twine, charming old water cans filled with baby’s breath, and hundreds of pinwheels. Safety First

Throwing an outdoor party in Fontana during summer is hot! The safety of our guests was Daylight and Event Solution’s priority. To make sure guests stayed safe and comfortable, we had a first aid station, made sure that there was plenty of shade, and unlimited beverages for our guests. We even brought in misting tents!

Entertainment

Guests could relax comfortably at umbrella tables, while kids and adventure seekers could enjoy all of the thrilling entertainment. An exciting zipline, double slides, moon bounces, dunk tank, and airbrush face painting stations were all available throughout the event.

favorite for kids, our Castle Combo Play Center had a fun Medieval look with a knight guarding its entrance. This combo offers an obstacle course, a low climbing area, a bouncer, and a junior slide! For sports fans, we had multiple sports booths like Penalty Kick, Strike Zone Speed Pitch, and Quarterback Toss. We even had a Rock N’ Roll station for all of our music lovers!

More Team Building Fun

One of the biggest entertainment at Daylight’s event was their deluxe field games and competition zones. These games were tailored explicitly for team building and bringing employees together. Bingo and corporate trivia were some of the games played where guests had the opportunity to win raffles, prizes, gift bags, and t-shirts!

If our entertainment wasn’t already over the top, Daylight chose to have a carnival ride setup right at their very own location. This made the event feel like their very own private amusement park with incredible carnival rides and games! Kids and employees enjoyed mega carnival booths with amazing carnival booth prizes.

Keeping the Event Going

To ensure participation and guest’s engagement, Daylight chose our ambient sound package and professional host and MC. Our MC led all of the team building activities, field games, and competition zones, and would make announcements throughout the event.

Picnic Catering & Cake Cutting

So much entertainment and games works up an appetite! Our picnic catering was cooked on-site on beautiful state of the art grills and seasoned with oak wood. Guests enjoyed charbroiled hamburgers and cheeseburgers, BBQ chicken, veggie burgers, hot dogs, and all of the side and salads you can dream of. And for an extra treat, ice cream, freshly popped popcorn, and a sheet cake were served. (Don’t take our word for it, read our reviews on Yelp!)

Capturing The Day

To document this beautiful and important day, a 4-hour event photographer was there to capture this fabulous event. This served as a great marketing opportunity for Daylight and was provided for the company to download later and use in social media. #howawesome!

Employee Appreciation in a Whole New Light

It’s safe to say that this was a successful and memorable employee picnic. Guest left the party with a grin from ear to ear, while children slept the entire car ride home. With all the fun and laughter that took place, employees were eager and ready to come to work on Monday!
