How does this process work?
We create each event from the ground up for you. You’ve already taken the first steps! Next we would have a team meeting to discuss your individual event needs and generate solutions tailored specifically for you. From there, how involved you are depends on you. You can provide all the creatives or we can have them designed for you and edit to your approval. Speeches, schedule of events, content, supportive graphics and video – we work with you every step of the way. We even create and send invites, manage your RSVPs and provide full scale testing and run-through(s) to ensure your vision comes to life.
Will I have creative & tech support?
Yes! We offer a dedicated event manager to support you through the entire process as well as tech support, A/V professional assistance, designer and content support. You’ll love the white glove experience you’ll receive from our friendly support.
Can my computer or mobile device handle the virtual event?
Our virtual venues are designed to be mobile responsive, but to get the best experience a computer is recommended. A mobile designed version of your event can be designed to better load on mobile devices that may be relying on slower internet/data connections. Before your event we will review your RSVP data to get an idea of your attendee’s devices and preferences and custom the design to best fit the majority of your attendees. Alternatively, we can suggest wording to include in your invites and event flyers to manage attendees expectations and maximize the best experience for them.
Who will communicate with my attendees?
That is up to you! We are fully prepared to communicate directly with your guest list in a variety of methods. We suggest email reminders and can provide content and designs that match your event to get guests excited to attend! Our reminders are proven to improve attendance and user experience. We also have live chat options that provide tech support, answer questions regarding the event, and more.
Can I customize my virtual venue?
Yes! Our virtual venues are designed with you in mind. We have a team of designers, photoshop experts and website experts ready to create the venue of your dreams – branding included!
Can I use my own photos for the venue?
Yes! Just provide us with large, high resolution images and we can custom the virtual venue micro-site to your own location! Or let our virtual venue scouts find the perfect “location” for you. Just schedule a conversation with our event planners and let us know what you are looking for.
What if I need another "room" in my venue?
All rooms (or pages) can be edited, removed or added to fit your event needs. By adding “rooms” you create more interaction with your attendees – improving their experience.
What do I need to do on the day of the virtual event?
We like to ensure all hands are ready and on standby at least 15 minutes prior to the start of the main event. Most events are “as-live” meaning they are per-recorded ahead of the day-of and fully tested to run prior to the day-of. Depending on if you are including live chat or email submissions, you may want to monitor and respond live to give your attendees the best experience.
Will guests be able to view sessions after the "live" date?
That is up to you! We suggest allowing the event to remain available to guests for at least three days after the “live” event. This allows anyone who missed the “live” event to attend and navigate through. It also allows for maximum absorption of educational material as attendees are able to re-watch again and again! Videos can be hosted for as long as you’d like with monthly, quarterly, and yearly plans available.
Will I have event data reported to me?
Yes! We can include a full snapshot of your event data including unique and repeat attendees in both real time and in a report after the event via email.
