Audio-Visual Services

The audio and/or visual services at an event include:

  • the technical management,
  • production
  • design

Of all sounds, visuals, multi-media and computer materials needed for an event. This could include a picture or video slideshow to be aired on a television or projector screen, a showcasing of a movie or clip, the entertainment sound set ups or making sure the DJ’s microphones work. Depending on the size of the event space and the complexity of the services needed, the audio/visual services team could be made of up just one individual or an entire team. Usually, wires and other technical things have to be done all at once and then tested to make sure everything is working correctly. It is easier to have a team of people to aid in the setup especially if time is of the essence.

The audio/visual service team should give themselves enough time to trouble shoot and replace parts if need be. The event planner should be on hand to manage the aesthetics of the equipment setup. It is very unsightly to have wires and electrical tape visible to the guests at your event. It is the number one way to ruin the beauty of your décor and setup. Obviously, the technical team should know how to hide wires and complete the setup without a hitch but the event planner does a walk through as well.

The audio/visual services at an event could be staffed and maintained by a team or just one person. The audio services needed are the actual hooking up of all wires, the setting up of all the corresponding systems and the monitoring of sound levels during the presentation to make sure everything remains in order. The visual services would include making sure every visual presentation is ready to be launched and that is it dismantled after the program. It takes a professional to manage these things because even though the event planner knows what they want they might not be able to manage the technical aspects. The event planner should rely on the audio/visual technicians to use their knowledge to make sure everything works correctly.
